    Overview: How to Use The Journal Import Wizard

    The Zumzum Financials Journal Import Wizard simplifies the process of creating draft journals from a CSV file. To use the wizard, first download and customise the Sample Journal Import Template without altering the column order. Prepare your data by inputting the Nominal Code, Tax Rate, Debit, Credit, and Dimensions, ensuring the debits and credits balance to zero. Access the wizard from the Transaction Tab, upload your CSV file, and review the entries. You can add references, edit the posting date, and insert the record to confirm the upload. Once imported, you can edit, delete, or post the draft journal within the Zumzum Financials web interface, providing flexibility and accuracy in financial management.

    Journal Import Wizard Steps

    Below is a description of the main steps to prepare and import a draft Journal into Zumzum Financials.

    1. Download the Sample Journal Import Template file
      • Do not change the column order
    2. Prepare your journal import data file
      • Use the name of the Tax Rate to reference the Tax Rate in your system.
      • Use the Nominal Code.
      • Use the Dimension Name
    3. Import data with the Journal Import Wizard
    4. Edit, delete or  post the draft Journal in the Zumzum Financials web interface

    1. Download the sample import file

    1. You can download the Sample Import File here: Sample Journal Import Wizard CSV Template
    2. Make a copy so you can edit and save your own custom template.

    2. Prepare your journal import data file

    1. Open up your Sample Journal Import File.
      • Do not change the column order when editing.
    2. Remove all the sample data in the sheet other than the column headings.
      • (do not change the column order)
    3. In the Nominal Code column, enter the Nominal Code from the Nominal Account record.
    4. In the VAT column enter the Name from the Tax Rate record.
    5. In the Debit column, enter the value as 2 decimal points
    6. In the Credit column, enter the value as 2 decimal points
    7. (Optional) You can Add the Dimensions by using the Dimension Name
      • If you do not use Dimensions, keep the columns in the import file with empty cell values
    8. Please ensure your Debits and Credits  Balance to 0 to ensure your Journal is imported correctly
    9. Your Journals Import Wizard import file should now look something like this (example in a Google Sheet):
      • Please remove any extra columns added by your spreadsheet.

    3. Use the Journal Import Wizard

    Follow these steps to take your Journal Import Wizard file and create a draft in Zumzum Financials.

    1. To access the Import Wizard go to the Transaction Tab,
    2. Select the Import Journal icon to start the Journal Import Wizard
    3. Select Upload File and select the CSV file which contains your journal line items.
    4. Click Next to be able to Review the Journal  Line items to ensure that they have all been entered correctly.
    5. Add any  Reference to help you identify the source of the journal.
    6. Edit the Posting Date if you wish to have another date than the default date of today.
    7. Select Insert Record when you are happy all the information is correct.
    8. The system will then confirm that the records have been uploaded successfully.
    9. Use the View journal record link to go directly to your imported Journal.
    10. Select Upload Again if you wish to import another journal
    11. Select Finish to close the Journal Import Wizard.

    3.1 Use the Journal Import Wizard Global Action (Lightning Only)

    1. Go to the Global Actions list on the top right-hand side of any Salesforce page and select Journal Import Wizard.
    2. You will see a popup with the Journal Import Wizard, so increase the size to make it easier to work in
    3. Select Upload File and select the CSV file which contains your journal line items.
    4. Click Next to be able to Review the Journal  Line items to ensure that they have all been entered correctly.
    5. Add any  Reference to help you identify the source of the journal.
    6. Edit the Posting Date if you wish to have another date than the default date of today.
    7. Select Insert Record when you are happy all the information is correct.
    8. The system will then confirm that the records have been uploaded successfully.
    9. Use the View journal record link to go directly to your imported Journal.
    10. Select Upload Again if you wish to import another journal
    11. Select Finish to close the Journal Import Wizard.

    4. Edit, Delete or Post Your Imported Journal

    Once your Journal record is imported, you will be able to edit and process your Journal in the same way you would if you had created the Journal in the Zumzum Financials web interface.

    After this process has completed processing your request, next to the green tick is the option to View the record so click this link to go directly to your imported Journal.

    At any other time, you can return to your draft journals. Go to the Journal Tab and in your preferred list view, find your most Recent journal or your list of draft journals. Follow this help article to edit and post your journal.
