Overview: Sales Order Automated Alerts Process Builder Template
Zumzum Financials provides a Sales Order Reminder Process Builder rule template using the standard Salesforce Lightning Process Builder feature. Click on Lightning Process Builder to visit the Salesforce help centre to learn more about this tool.
The Sales Order Reminder Process will send an email to your Customer when the Sales Order is created or the Status is changed and a final email alert when the order is set to a status of Delivered.
This Process Builder, when enabled, will automatically execute the following actions:
- Send an email alert when a Sales Order is created
- Log a sent email record in the activities related to the Sales Order
- Send an when the Status field of the Sales Order is changed to In Progress or On Hold
- Log a sent email record in the activities related to the Sales Order
- Send an when the Status field of the Sales Order is set to Delivered is
- Log a sent email record in the activities related to the Sales Order
- Stop email alerts if “Do Not Send Sales Order Update Emails” is selected on the Sales Order
- Prevent the Sales Order Contact from automatically receiving the email alerts.

Customise The Sales Order Automated Alert Process Builder Rule.
Follow these guidelines for customising the Sales Order Automated Alert Process Builder rule template to your particular requirements:
- Clone the Sales Order Automated Alerts Process Builder Template
- Clone the Log Email For Sales Order Automation Process Builder Template
- Customise/add/remove the conditions for each executing each node in your new process builder rules
- See the information below about Do Not Send Sales Order Update Alerts
- Update the Status field to reflect your business processes
- Customise/add/remove the actions for each node
- Customise each Email Alert you have included as an action for any nodes in your process builder
- Customise each Salesforce Classic Email Template you have used for your email alerts
Clone the Sales Order Automated Alerts Process Builder Template
Clone the existing Sales Order Automated Alerts Process Builder Templates so that you may customise the elements of the rules and test those in your Sandbox, before deploying to your live system.
- Go to the Setup menu using the Cog in the top right.
- In the Quick Find box to search for Process Builder and select it.
- In the list look for Sales Order Automated Alerts process builder rule and click into the newest version.
- In the top right-hand side select the Clone button.
- Choose to clone the template as A New Process, you can rename this new version of process builder if you wish.
- Go back to the list of Process Builder rules and find the Log Email For Sales Order Automation and clone this template.
Customise The Conditions For Each Node In Your New Process Builder Rule
You can change the required conditions for executing each node, which is currently set to use the Sales Order Status field. You can add new values to the Status field to suit your business processes.
To customise the conditions for each node, visit the Salesforce help article on the Salesforce Process Builder tool for setting the values
- Go to your new Process Builder rule
- Under the Reminder conditions
- You can edit the existing values on the rows.
- If you wish to add another click the “Add Row”
Do Not Send Sales Order Update Emails Field
This field when ticked will prevent the contact on the Sales Order receiving email alerts as the process builder condition will not be met. Before enabling make sure that you have ticked this box on any Sales Order you don’t want to activate email alerts for. If you wish to create a new field or use an existing one in place of this here is how to do so:
- Once you have chosen the field you wish to use in replacement. Go to your Sales Order process builder rule.
- Click on each Node you wish to modify to use your new custom field.
- Under the Set Conditions remove the Do Not Send Sales Order Update Emails field
- If you wish to add another value then click the Add Row
- Search for the field in the new row and choose your desired conditions.
- Save the changes.
Modify The Picklist Values of your Sales Order Status Field
The Status field is set up as a Path on the Sales Order when the Status is updated this is what triggers the email o Customer. You can edit the Values of the Status in order to fit your requirements. Please remember if you update the Status field you will be required to update the Process Builder respectively.
If you wish to edit the values in the Status field:
- Go to the Setup menu.
- Go to Object Manager, find Sales Order.
- Go to Fields and Relationships and find the Status and drill into is.
- You can Add and Remove values as you wish.
Customize Actions and Add New Actions

Edit Or Add Email Alerts Actions
The Zumzum Financials Sales Order Automated Alerts Template includes sample Email Alerts which you may use or clone for your own requirements.

Edit Or Add Salesforce Classic Email Templates
Before activating the Sales Order Automated Alerts Process Builder rule, you will need to edit the sampl Salesforce Classic Email Templates or replace those with your own, to show your branding and customised to your preferences.
Please follow the Salesforce help article on Email Templates for Salesforce Classic to edit or add your own email templates and assign those to Email Alert Actions.
Test Your Process Builder Rule In Your Sandbox
Please test your new process builder rule in your sandbox and continue to refine your process builder rule till you are happy to move this to your production system.
Deploy Your Process Builder Rule To Your Salesforce Production Org
Once you have approved your new process builder rule, you may deploy this to your production org using any of the Salesforce deployment techniques used by your company.
